POSITION INFORMATION

Role Summary
This role provides administrative assistance to the Inflight Managing Director and Directors. Responsibilities include managing and maintaining records databases, verifying payroll reports, overseeing new hire I-9 compliance, scheduling, travel arrangements, filing, routine audits, event planning, mail distribution, and answering incoming telephone calls.

Scope & Complexity
This individual contributor role provides complex administrative assistance for Horizon Air.

Key Duties

*

Manages and maintains the APIS database to ensure compliance and currency with Flight Attendant travel documentation.

*

Enters Flight Attendant records into the FAA web-based Flight Attendant Certification System.

*

Processes status changes to individual Flight Attendants (e.g., pay and title changes, new hires, separations, etc.).

*

Oversees new hire form I-9 compliance.

*

Verifies Inflight leadership payroll.

*

Conducts Inflight Duty Officer scheduling.

*

Coordinates budget support, processes paperwork and purchase requisitions, and orders office supplies.

*

Coordinates annual records retention activities.

*

Publishes Flight Attendant must-read files and audits compliance-related programs (e.g., badging, Flight Attendant must-read files, passports, seniority lists, etc.).

*

Coordinates and plans Flight Attendant recognition events and company-sponsored celebrations.

*

Coordinates travel arrangements, schedules meetings, and manages meeting minutes for the Inflight management team and employees.

*

Provides operational support, including traveling to Flight Attendant bases.

*

Answers incoming phone calls, responds to questions, directs calls and/or takes messages, and interacts with employees at various levels within the company on a daily basis.

*

Opens, sorts, and distributes mail and organizes, prepares, and files general correspondence.

*

Performs other duties as assigned.

Job-Specific Skills & Education
Required

*

A minimum of 2 years of administrative experience.

*

Proficiency with Microsoft Office applications (e.g., Word, Excel, PowerPoint, and Outlook).

*

Minimum of typing speed of 45 words per minute.

*

Excellent interpersonal and communication (e.g., verbal, written, and listening) skills.

*

Detailed oriented and highly organized, with ability to multi-task and work independently with limited guidance in a fast-paced environment.

*

Strong diplomacy and teamwork skills.

*

Demonstrated ability to work with and maintain confidential data.

*

Strong technical background.

*

Regular and predictable attendance.

*

High school diploma or equivalent.

*

Minimum age of 18.

*

Must be authorized to work in the U.S.
Preferred

*

Knowledge of payroll practices and accounting principles.
