Reports to the Manager Line Maintenance Contract and performs complex administrative duties including the creation of Line Maintenance agreements, processing/payment of invoices from Maintenance Providers and the issuing of invoices for work performed on Delta equipment. Has daily interaction with employees at all levels, including Director and above levels, both inside and outside the Company. Handles confidential business information effectively. Gathers, compiles, and reports information relevant to Line Maintenance Contracts. Responsible for the maintenance of documents, records and other data forms. Acts as the gatekeeper for all agreements with vendors and carriers as related to Line Maintenance. Monitors and purchases office supplies using purchasing account. Ability to draft and answer correspondence as needed from and to vendors and customers. Proficient with MS Office suite of applications to create, revise, communicate documents and files as required for completion of job duties. Highly organized with superior attention to detail. Performs an assortment of other duties as assigned to support Line Maintenance and supporting groups as needed. Practices safety conscious behaviors in all operational processes and procedures.
Minimum high school diploma or GED equivalent required. Five or more years previous Administrative Support experience required. Two years formal training may substitute for up to two years' experience. Must possess advanced proficiency in MS Word, Excel, Access and PowerPoint. Must be proficient in MS Outlook and MS Explorer. Should have the communication skills necessary to handle calls and make inquiries regarding customer contract details and Line Operations, and be able to communicate results back to manager. Should have the necessary skills to effectively write business correspondence as well as working with templates used for contracts. Must have the ability to communicate with all levels of staff from front-line employees to senior managers. Ability to anticipate the business needs and priorities of the department. Should have a some knowledge of Line Maintenance and Technical Operations and the work performed within is preferred. Must be highly organized with superior attention to detail. Excellent interpersonal skills are necessary to greet visitors, customers, and business partners. Must be able to apply attention to detail to ensure that information is accurate and correct, that documents are grammatically correct, and that work is completed in a timely manner. Must have the ability to adjust schedule on the fly and handle multiple projects assigned by individual staff members effectively/efficiently. A self-directed team player with an energetic can-do work attitude and professional business presence. Must be performing satisfactorily in present position.
