Delex Systems is seeking a full-time Executive Assistant to support a customer site at the Pentagon. The qualified individual will be responsible for providing high-level executive assistant support across a broad spectrum of functional areas and will directly interact with and support the Director, Deputy Director, Chief of Staff, and HQ Executive Assistant of the organization. The candidate will be responsible for gathering and synthesizing information, coordinating executive reviews, and preparing professional documents. Additional key elements of support include managing the organization's executive calendar, resolving scheduling conflicts, and coordinating staff events. Primary Duties and Responsibilities Duties: • serves as division liaison to Chief of Staff and coordinates all Human Resources actions supporting the division, including the review and update of position descriptions, justifications, and job analysis worksheets. • maintains cognizance of internal and external policies and issues that impact the work of the division. Manages outside data calls and responds and monitors various forms of communication. • manages division travel program, processes travel requests, coordinates travel, troubleshoots errors, coordinates and consolidates travel projections. • maintains and ensures quality and accuracy of correspondence files and calendars. Processes and handles classified and sensitive materials. • assists in a variety of division support programs, including orientation activities for new personnel, customer support for visitors, logistics support, and government vehicle support. • acts as training officer, coordinating all training and ensuring training completion for the division. • conducts official travel in support of these overall executive support functions. • operates government vehicle for liaison meetings in the National Capital Region. Education and Experience Requirements Requirements: * Top Secret/SCI clearance with favorable T5 or T5R investigation completed within the past six (6) years. * Requires a valid driver's license. * Associates Degree with general experience in executive assistant (EA) processes, High School Diploma, or GED with 2 years' experience in EA processes. * Excellent English writing, grammar, and technical editing skills. * Strong interpersonal and communication skills to interact with senior management, employees and customers. * Proficient with applications of Microsoft Office, particularly Word, PowerPoint, and Excel.
