Seeking an Executive Assistant who thrives on challenges and solving problems by figuring out the impossible and making them possible. The candidate must be capable of quick thinking and do the necessary research to come up with solutions and then adapt those solutions to make anything you do more optimal, efficient, and conceivable. 

This position requires a highly capable professional who can work independently and easily deal with rapid change, high pace and dynamic environment. While 50% of the job requirements may be routine, the remaining work is stimulating, creative and requires ingenuity.

You'll work closely with our Managing Director and CEO and provide support to the Sales Team.

Main responsibility is to make sure that many of their day-to-day necessities are taken care of so their time is freed up for strategizing, business development and executing. The company is growing at a rapid pace and you will need to keep up.


Responsibilities:

  • Administrative Help - Travel arrangements, email follow-ups, coordinating scheduling with team and clients (across multiple time zones), resolving minor issues that require research and vendor interactions.
  • Marketing Research - Competitive intelligence research, background research on potential tactics the company might recommend to clients, assistance with finalizing presentations in PowerPoint for use with clients or potential clients.
  • Other Ad Hoc Projects - Background research or new vendors needed for client or company initiatives.
  • Reporting – Compile monthly reports.
  • Be willing to participate in uncertain tasks, master them and become an expert wherever needed.
  • Not scared to try new approaches and offering insights.
  • Be proactive in helping keep the Managing Director and CEO’s to-do list clear of anything you can do.
  • Run with projects and own them until the very end with a professional deliverable and approach.

 

Requirements:

·        Minimum of 3+ years experience in an administrative position.

·        Bachelor’s degree or equivalent education or experience.

·        Excellent interpersonal skills with the ability to work well with individuals at all levels of the company.

·        Knowledge and proficiency with Microsoft Office Suite including Word, Excel and Power Point.

·        Proven ability to perform in a fast-paced, dynamic environment.

·        Ability to handle multiple high priority tasks at a time without losing focus on daily responsibilities.

·        Self-directed, flexible and enthusiastic with a focus on results.

·        Exceptionally strong time management and organizational skills.

·        Excellent in both verbal, written and editing communication skills.

·        Proactive in nature with the ability to multi-task while still providing a high attention to detail and deadlines.

·        Excellent analytical and problem solving skills.

·        Travel or airline experience would be an asset.

·        GDS – Sabre, Amadeus or Travelport would be an asset.

·        Language:  French and Spanish would be an asset.
