Position Summary:

The Flight Coordination Support Specialist is responsible for supporting the Flight Coordination department in conducting day to day trip, operational, and administrative requirements. A successful candidate will be highly motivated to work in an aviation coordination department, and will possess strong cross-functional communication and relationship building skills. Great organizational and attention to detail skills required.

Duties & Responsibilities:

  • Act as point of contact for all JL Base Teams and Fleet Management teams on answering any questions and concerns.
  • Future trip review assessing all operational aspects to include but not limited to runway/airport conditions, curfews, facility amenities, any reservation requirements
  • Obtain and confirm any airport reservations to include parking reservations or permits at private airports, for events and/or Arrival or Departure slots set by the FAA
  • Coordinate with crew to plan trip logistics (de-icing, hangar rentals, life raft rentals, crew meals, etc.)
  • Coordinate FBO assignments as needed and perform FBO notification day prior
  • Work with appropriate department(s) to distribute crew briefings
  • Update contract fuel pricing in FOS and update and manage contract fuel cards
  • Conduct fuel purchasing for each flight
  • Complete all necessary checklists on a trip by trip basis
  • Assist in housekeeping tasks to include verifying day prior flight logs and expense reports
  • Create and update SIO’s (Service Improvement Opportunities) in FOS when necessary
  • Maintain solid understanding of peak travel times (Holidays, Mountain flow control, Super Bowl, etc.) and communicate with appropriate notice of any potential issues and plan
  • Share in the on-call rotation as needed and on designated nights/holidays
  • Other duties as assigned

Knowledge, Skills & Abilities:

  • Ability to work as part of a close team as well as independently
  • Familiarity with general aviation flight operations is preferred
  • Strong interpersonal communication skills
  • Familiarity with FOS preferred
  • Ability to effectively interact with all levels of the Company and its customers
  • Strong attention to detail, organizational and time management skills
  • Ability to maintain the confidentiality of sensitive information
  • Self-motivated and independent problem solving ability
  • Ability to coordinate and work on multiple projects at once
  • Ability to work with frequent changes in procedures, directions and outcomes
  • Ability to work flexible, non-standard hours is required

 Education and Work Experience:

  • Bachelor’s degree or equivalent
  • 1-3 years of aviation experience
  • Previous Part 135 with high volume and/or large fleet size
  • Or a combination of training, education and experience equivalent to the standards listed above that provides the required knowledge, skills and abilities

 Physical Requirements:

  • Majority of work is completed in a normal office work environment
  • Communicate through verbal, written and electronic means
  • Operate office equipment such as telephone, computer, printer, fax, postage meter, etc.
  • Move up to 25 pounds on an infrequent basis
  • Access filing cabinets, drawers and shelves of varying heights
