Position Summary

Reporting to the Legal Counsel, this position is responsible for providing administrative support to Lawyers and Law Clerks including preparing and managing legal documents, and communicating effectively to the GTAA business, as appropriate, for the Legal Department.

Job Description

Key Accountabilities:

* Provide administrative support to Lawyers and Law Clerks

* Type and edit legal documents using Microsoft Word, Excel and PowerPoint as applicable

* Preparing documents for execution, and filing and retrieving these records accurately and efficiently

* Schedule appointments and manage calendars for Lawyers, including events, seminars and meeting coordination

* Detailed review of confidential documents to ensure accuracy of content and format; dissemination of documents to relevant parties

* Maintain well organized completed files, filing of legal documents in electronic document management system, organizing and maintaining files in Lawyers’ offices, document management including archiving of documents

* Maintain a follow up or diary system to ensure appropriate follow up with respect to legal matters and deadlines

* Follow up and act as a liaison with various individuals, both internally and externally, at all levels of the organization to arrange and coordinate meetings between internal and external parties

* Provide administrative support to the Department Manager and act as backup to the other Legal Assistants

* Prepare month-end/year-end accruals for legal invoices, and payment of invoices

* Use GTAA online workflow processes including, for example, to obtain approval to order office supplies

* Occasional administrative support in the CEO office on a rotational basis, answer Executive Office phone lines, and screening or directing calls

* Handle incoming mail, including email

* Photocopying, scanning and faxing

* Other duties as assigned

Job Requirements

Qualifications:

* Post-Secondary education with Legal Assistant Diploma and/or Law Clerk certificate

* Minimum 5-8 years’ experience in a Legal Department of a major corporation or law firm

* Proficiency using i-share or other document management system an asset

* Intermediate score on standardized software test, including use of MS Word styles, fields and cross-references, and MS Excel calculation commands and cross-references

* Studies in library and information sciences an asset

* Must meet the security level designated for the position and must be able to obtain and maintain a Transport Canada Transportation Security Clearance

Knowledge, Skills and Abilities:

* Eagerness to learn and further develop skills as a Legal Assistant

* Early-adopter of technological solutions to legal office management and service delivery

* Passionate about constantly improving service to clients

* Excellent typing skills with a high degree of speed, accuracy and attention to detail including punctuation and formatting with strong proofreading skills

* Strong proficiency using Microsoft Office suite (Word, Excel, PowerPoint, Outlook)

* Proficient knowledge of Dictaphone and transcription systems and the ability to transcribe documents, correspondence from tape

* Excellent time management, organizational and prioritization skills

* Ability to work independently or with minimal supervision and within tight timelines

* Ability to take initiative, be resourceful and conduct basic legal research and/or fact finding

* Strong interpersonal skills and an excellent team player

* Strong communication skills (both oral and written) including the ability to deal with clients and all levels of staff

* Ability to work in a fast-paced environment

* Flexible to work occasional overtime hours
