This is an exciting opportunity to join the Boeing Defense Space & Security (BDS) team in the Potomac Region. We are seeking an Executive Office Administrator to support Site Consolidation efforts. The selected candidate will be working in a dynamic team environment reporting to Site Consolidation.

Responsibilities:

* Track, maintain and disseminate information relative to group and business operations.

* Interface with high level internal and external contacts using discretion and initiative.

* Proficiently and seamlessly manage the executives’ daily calendar.

* Manage all domestic and international travel arrangements for executives.

* Monitor travel logistics, expense reports and reconcile corporate credit card charges for accurate payment and reimbursement.

* Create, edit and maintain electronic and written communication and correspondence.

* Plan and implement logistics for internal and external events, as required.

* Create, edit and maintain electronic and written communication and correspondence.

* Under minimal supervision, prioritize actions and proactively anticipate executive needs and flow of the office to ensure a smooth operating rhythm.

* Maintain an organized filing system of paper and electronic documents

* Prioritize, manage and schedule time and availability for most efficient use of time.

* Communicate a wide variety of information to multiple audiences exercising judgment to reflect the organization’s needs and Boeing Company policy.

The ideal candidate is highly self-motivated, professional, possesses exceptional interpersonal skills, is friendly with a professional demeanor, strong organizational and project management skills and is capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. The successful candidate must be skilled at establishing and maintaining effective working relationships with internal and external customers, co-workers and peers, while maintaining the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines. While this role is based in Fairfax, the BDS Site Consolidation team works across 3 US time zones. The OA needs to be able to adjust his/her work hours to meet the needs of the hiring manager and teams, especially when on travel.

Qualifications

Typical Education / Experience:

* High school diploma or GED and typically 4 or more years' related experience or an equivalent combination of education and experience.

Basic Qualifications (Required)

* Candidate should have a personable and professional phone demeanor; ability to speak clearly, professionally and with decorum.

* Experience with the Microsoft Office suite including Word, Excel, PowerPoint, and SharePoint. Requires strong proficiency in Microsoft Office applications.

* Experience managing executive schedules and calendars using Microsoft Outlook.

* Experience in coordinating and processing domestic and international travel arrangements, generating expense reports and reconciling corporate credit card charges.

* Candidate should be able to work outside of normal business hours on occasion to support statement of work

* Thorough knowledge of company office practices and technology, applicable policies and procedures, and the organizations office information workflow and structure

* Mature and independent judgment, initiative, and flexibility; highly responsive to the needs generated by the day-to-day activities of management and the organization; planning tasks; and leading in a team environment

This position must meet Export Control compliance requirements, therefore a “US Person” as defined by 22 C.F.R. §120.15 is required. “US Person” includes US Citizen, lawful permanent resident, refugee, or asylee.
