INTRODUCTION

The Parts/Inventory Coordinator is responsible for overall control of materials in the airline supply system.

DUTIES AND RESPONSIBILITIES

1. Maintain and control the aircraft inventory of parts, supplies and tooling to ensure safe, legal and commercially prudent warehousing practices.

2. Ensure parts inventories are accomplished weekly and monthly by Maintenance and/or Stores personnel; periodically inspect warehouseing locations to ensure compliance with policies, procedures and regulations; manage surplus or excess and obsolete materials at maintenance locations; investigate irregularities and anomalies as they pertain to differences in inventory levels and physical counts.

3. Order, maintain and track inventory levels at all maintenance stations to ensure inventory levels support maintenance requirements; follow up on completed inventories to reconcile inventory levels and correct errors; maintain a system of monitoring shelf-life critical inventory and dispose of out-of-date items in accordance with procedures and reporting requirements.

4. Ensure proper distribution of parts/critical parts in strategic locations to ensure dispatch reliability; direct and monitor scrapping of BER parts in accordance with policies and procedures of the airline and its customers.

5. Manage parts contracts with various customers; ensure parts are purchased and repaired within contract specifications.

6. Monitor repair order processing; prepare reports of parts usage and inventory levels as required to assist various departments and support personnel; oversee inventory audits and reconciliation of packing slips and invoices; monitor spares forecast reports for maintenance stations to ensure no rotables exceed maintenance and/or shelf life requirements.

7. Maintain parts separation of Empire Aerospace, FedEx, Ohana and/or customer parts; monitor unused parts from heavy check returning to inventory.

8. Serve as liaison with Purchasing personnel to advise Aircraft Parts Buyers of ship-to locations of repaired components and also to advise of critically low levels of priority parts and supplies; participate in collaborative meetings with Stores, Maintenance and Maintenance Planning to review min/max levels and make changes as necessary.

9. Train, supervise and evaluate staff; serve as positive role model for ethical behavior and promote an awareness and understanding of positive ethical and moral principles that is consistent with these principles; promote and support the mission of Empire Airlines.

10. Other related duties as assigned.

EDUCATION AND EXPERIENCE

High school diploma with five years of airline purchasing experience or if internal, five years as in a buyer/ purchasing capacity. Must have exceptional and demonstrated office skills in word processing, files management and time management. Must be able to prioritize and work with limited supervision in a busy office. Must have exceptional communication skills, both oral and in writing, maintain confidentiality, have a valid driver’s license with insurable record under Empire’s policy. Will be required to obtain and maintain Receiving Inspection Authority.

WORKING CONDITIONS

Work is performed primarily indoors. Requires standing, walking, sitting, bending and stooping for extended periods of time and requires minimal travel. Requires manual dexterity, speaking, seeing and hearing to conduct business. May be required to lift up to 20 pounds and work irregular hours.
