Job Description

This position provides clerical support for Maintenance shop leadership & team members.   

 

Principal Duties and Responsibilities:

  • Develops and maintains numerous department reports, including weekly headcount reports. 
  • Maintains and secures confidential employee files.  Maintains crew lists, overtime and field trip records.  
  • Provides telephone coverage, including inquires, categorizes mail and process and approves AOA ID’s. 
  • Plans and organizes various meetings and functions for shop leadership and team members. 
  • Prepares flight and hotel reservations. 
  • Receives and directs visitors. 
  • Inventories and orders a wide variety of items for the department, including office supplies. 
  • Processes paperwork for computers and system access. 
  • Sorts and files data and correspondence. 
  • Interacts with all levels of management and shop personnel. 
  • Provides backup coverage and assistance to other Production Assistants. 

Job Qualifications

  • High School diploma or GED.
  • 3 Yrs. previous office experience preferred.   
  • Must be able to prioritize and organize work functions effectively.   
  • Exercise good judgment and work under time constraints with professionalism, efficiency, patience, and tact.   
  • Ability to prepare correspondence and format reports.   
  • Track, coordinate and oversee several projects simultaneously with minimal supervision.  
  • Maintain confidentiality, including payroll information.   
  • Prior use of RES, DECS, and Jetnet (for handling flight & hotel accommodations, car rentals, A-9 travel, etc.)  Outlook, Sabre, IMS, View Direct, SmAArtbuy, I-Payables, AutoTA and Workbrain.   
  • Additional responsibilities include safety exam notifications, random drug test notifications and grievance processing preferred.
  • Minimum typing skill of 25-49 wpm required.
  • Must support and encourage team efforts.
  • Must seek out and assume more responsibility than expected.
