The Supervisor, Talent Services will serve as the system administrator for the Company’s applicant tracking system as well as develop and maintain content/reports for the Talent Services department.  The Supervisor is also responsible for the direct oversight of a team of Recruitment Coordinators and the Company’s Temporary Worker Program/Contractor requests.


System Administrator Responsibilities - Applicant Tracking System (ATS)

  • Develop and maintain the ATS including job posting templates, pre-screening questionnaires, workflows, dynamic forms, user guides, libraries, system access rights, and settings

  • Review daily approvals for job requisitions; ensure proper formatting and posting of all positions

  • Provide support/training to all users; work closely with users to identify performance/system issues or propose enhancements based on user input

  • Troubleshoot to resolve minor issues; escalate major concerns by working through Vendor ticket system

  • Participate on system calls (outside of standard business hours) to conduct test analysis on single sign-on (SSO) applications

  • Ensure all compliance requirements are met with regards to EEO and OFCCP

  • Communicate and lead the technical roll out of quarterly updates and/or system enhancements

  • Develop and create system reports; check for daily delivery of integrated information between systems (ex.ATS and HRIS)


Administrative Responsibilities - Content/Reports

  • Maintain content on several internal and external website pages

  • Develop and implement recruiting metrics to measure success of initiatives, processes, and programs

  • Provide reports and metrics to ensure that goals and expectations are being met; make recommendations


Supervisory Responsibilities - Recruitment Coordinators/Temporary Workers & Contractors

  • Directly manage a team of Recruitment Coordinators; review daily workflows, provide support/training, and conduct regular reviews of activities to ensure accuracy and timeliness

  • Manage and maintain Envoy’s Temporary Worker program and Contractor requests; ensure procedural and legal compliance of all placements

  • Maintain database and track all temporary worker/contractor requests and placements

  • Track hours worked for proper coding of hours/pay; ensure workers are placed on/off payroll correctly

  • Conduct on-site checks with temporary workers and assignment Managers; ensure work is being completed timely, efficiently, and accurately

  • Coordinate and manage relationships and pricing with staffing agencies for any contract work required by the Company; act as liaison between agency and Accounting
